Data we process
When you contact us, we process your name, email, chosen service, message and any relocation details you voluntarily provide. During an engagement, we may also process household priorities, likely workplace, housing budget, language needs and notes needed to prepare recommendations. Please do not send passports, health records, financial account details or other sensitive information unless we specifically explain why it is necessary.
Our hosting provider may process technical logs such as IP address, browser, requested page, timestamp and error data to deliver and protect the site. Cookie preference storage remains in your browser.
Purposes and legal bases
We process inquiries and engagement data to take steps before a contract and perform a contract under Article 6(1)(b) GDPR. We use limited technical logs and business records for security, service administration and defence of claims based on legitimate interests under Article 6(1)(f). Records required by tax or commercial law are processed under Article 6(1)(c). Optional analytics, if introduced, require consent under Article 6(1)(a); they are not currently active.
Recipients
Access is limited to Digitalworkbase personnel who need the information. Hosting, email, video meeting and document providers may process data under contract. We do not sell personal data or share inquiry details with cities, employers, landlords or referral partners for advertising.
Retention
Unconverted inquiries are normally deleted after 12 months. Engagement files are kept for three years after completion to handle follow-up and legal claims, unless a longer statutory period applies. Invoices and required accounting records are retained for the period required by German law. We delete or anonymise data when the applicable period ends.
International transfers
We prefer providers processing data in the European Economic Area. If a provider transfers information outside the EEA, we rely on an adequacy decision, EU Standard Contractual Clauses with supplementary measures, or another lawful safeguard. You may ask for information about the applicable safeguard.
Your rights
Subject to legal conditions, you may request access, correction, deletion, restriction, portability or objection to processing based on legitimate interests. You may withdraw consent at any time without affecting earlier lawful processing. Contact info@digitalworkbase.digital to exercise a right. We may need to verify identity without collecting excessive information.
You may complain to a data protection supervisory authority. For our Düsseldorf establishment, the relevant authority is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia.
Required and optional information
Contact details and enough context to assess an inquiry are needed for a reply. Additional household detail is optional until it becomes necessary for an agreed consultation. Automated decision-making and profiling are not used.
Security and updates
We apply access controls, minimisation and reasonable technical safeguards. No transmission or storage method eliminates all risk. We update this notice when processing changes and show the revision date above.
